Overview

In this article, we will describe how to set up the connection between Visma.net Financials and SuperOffice to transfer data from Visma.net Financials to SuperOffice.

Unlike the triggered profile where data is transferred from SuperOffice to Visma.net Financials, this profile will be time scheduled. Updated data in Visma.net Financials will be transferred periodically to SuperOffice.

WARNING

Test before scheduling!

In this article, you will learn how to set up a connection between Visma.net and SuperOffice and transfer data from Visma.net to SuperOffice. Before the profile is to be scheduled we recommend thoroughly test if the profile works with one record.

This profile will transfer all data from Visma.net to SuperOffice. When you were to set up the scheduled profile all Visma Customers will be transferred to SuperOffice and existing Company cards will be overwritten with data from Visma.net. So test before you finally schedule the profile.

Testing the profile with only one record:

  1. Set the profile to triggered
  2. Enable "Instant Job"
  3. Copy the URL and paste it in a browser. Add to the URL the parameter you want to test with, for example:
    https://trigger-databridge.infobridgeuniverse.com/Instant/Run/2986?key=<your trigger key>&VismaCustomerId=20013
  4. Execute the URL and it should return a {"Success":true,"Message":"OK"}
  5. Test with Visma new Customers and updated customers. Check at SuperOffice the results.
  6. When tests are ok, switch the profile into a scheduled profile

Intended Audience

This article is intended for persons who are the administrator for SuperOffice or Visma.net Financials.

Prerequisites

The following prerequisites are required before you follow the steps below.

  2. A SuperOffice CRM login name with administrator rights
  3. A Visma.net Financials account

Configure DataBridge

  1. Login into DataBridge

At the moment the option to transfer data between SuperOffice and Visma.net is on request only. Please request this via support@infobridge.com before you continue

  2. Create a new profile with Location set to Visma.net Financials and the Destination to SuperOffice CRM

    Click Next

  3. Make a connection to Visma.NET Financials and select your company

    Click Next

  4. Configure Source: Choose the type of entity to export from Visma.net
Use the Customize fields multi-select to only select the required fields (depending on the situation, other fields could have better formatting, so it’s not strictly this list.
Select Only retrieve new and changed entities if you only want to export the entities that were created or modified after the last export.

    Click Next

Due to technical reasons, the field 'notes' decreases the performance.

  1. Transform: In this example, we have used two transforms,

    1. Map List (to convert the CountryID from Visma.net to a Country field in SuperOffice CRM

    2. Add Field (to add a field with a fixed value, in this case Category = Customer)

This way you can manage all kind of transformations
NOTE: More information on the different Transforms you can use can be found here
    Click Save and Next

  2. Configure fields:
Select the ‘Company’ entity and link the fields

Be sure to link the Customer ID to the Company: Number field.
(Customer ID is a unique Visma number and is needed for Duplicate checking, see step 7)

    Click Next

  3. Destination settings: Customize the destination settings if required.  Especially take care of the deduplication settings.
In this example, we have set the duplicate match to Number.

    Click Next

  4. Profile Settings: Set the scheduling method to scheduled. Choose a schedule. In this example it runs every 4 hours between 8:00 and 17:00 on workdays.
Start processing a job based on a schedule

    Warning

Please see the Warning at the top of this article about testing the profile first!

    Save the profile

In practice

Every four hours this profile runs a DataBridge job in the background which updates SuperOffice company cards with new and updated Customer data from Visma.net Financials.
