Overview

What is exactly the difference between Synchronizer admins and users?


To answer this question let us explain, in a nutshell, how the Synchronizer works:

The Synchronizer enables you to keep your SuperOffice calendar in sync with your Outlook/ Microsoft 365/ Google calendar. Appointments, tasks, and contacts can be synchronized. Appointments synchronized from SuperOffice will automatically contain all relevant information about your appointment.

Admin users 

When you are the SuperOffice Admin, you are the person who is able to perform the signup for the Synchronizer environment.

As an admin user, you can set up the Synchronizer. This means creating a profile, editing different settings and linking the SuperOffice users to their external email account.

Profile

A Sync Profile is a collection of settings and linked users who use the same calendar system. Usually, a company has one calendar system, and in such cases also one profile is needed. If a company has multiple calendar systems, like Microsoft 365 and a handful of Google Workspace users, then the company would need more profiles. More info on how to use multiple profiles

Link Users

On the Link Users page of the profile, SuperOffice users can be linked to their external calendar. More info in this chapter

The Synchronizer is very flexible and allows you, as the admin, to enforce/override user settings or let everyone determine their own settings. Each user is (by default) able to change his/her own settings as they please, simply by just logging in and clicking the Edit Preferences button.

How and where to log in for Admin users

To log in as admin go to Synchronizer 

Log in with the Login with SuperOffice button and fill in your SuperOffice credentials. As an admin, you will now see two options, use your regular user account or the admin account, choose the latter.

In the admin portal, you can go to:

  • Profiles: See your Profile(s) and manage them. 
  • Status: See the status of your users. When there is an issue you can see the issue by moving your mouse pointer to the warning message in the status overview.
    Note: When the external email system password of one of the users expires they will automatically receive an email telling them where and how to change it in their Synchronizer account.
  • Account: Here you can administer General settings, you can add more Admin users, change your password and see your invoices
  • Subscription: When your subscription is handled by SuperOffice there is not much to see here. Otherwise, your subscription and billing information can be found here.

Users

With users, we mean those users who have a linked account in Synchronizer. The calendar, tasks, and contacts will be synchronized between SuperOffice and their external calendar.

The users are linked by the admin user and by default they will be set up with the settings from the profile. Users have the option to change these settings to their own liking simply by just logging in and clicking the Edit Preferences button. See this chapter for a detailed look at all the settings.

The Synchronizer is a full cloud product, meaning it is running 24/7, regardless if people are logged in into SuperOffice or not. No local installation is needed.

How and where to log in for users

To log in as a user go to Synchronizer 

Log in with the Login with SuperOffice button and fill in your SuperOffice credentials

In the customer portal, you can see a timer that shows the current status. It could be in a working state or when idle, it shows the time until the next Sync session.

Here you can also:

  • Sync Now: By clicking this button you can force the synchronizer to start synchronizing right away. By default every 15 minutes a synchronization session is started.
  • Edit your preferences: Change your synchronizer settings. See this chapter for a detailed look at all the settings.
  • Edit credentials: When the password of your external email system has changed you can change it here.
